Invoices and Deposits for White-Label Client Packages

Agencies and coaches who deliver rebranded white-label packages to clients usually sell them as a project, not a one-click download. That changes how you get paid: an invoice with clear line items, often with a deposit, tends to fit better than a shop checkout. Here is how to set that up with two widely used processors, described as of October 2026.

Decide the Payment Structure First

Before you open any tool, write down how the package will be billed. A common structure is a deposit before work starts and the balance on delivery. For example only: a $1,200 rebranded onboarding kit billed as $600 up front and $600 when the final files are handed over. Whatever split you choose, put it in your proposal so the invoice simply confirms what the client already agreed to.

Invoicing With Stripe

Stripe’s documentation describes a hosted invoice page with a private URL where the customer can view the invoice, pay with the payment methods you enable, and download PDF copies of the invoice and receipt. You can add your brand color, logo and icon in the Dashboard branding settings. Stripe notes that these invoice URLs expire 30 days after the due date (or 30 days after finalizing if there is no due date), so set realistic due dates.

For deposits, Stripe supports partial payments on invoices. To let clients pay part of an invoice on the hosted page, you enable partial payments in the Invoice settings page of the Dashboard. The alternative is to issue two separate invoices — one for the deposit, one for the balance — which some clients find easier to process.

Invoicing With PayPal

PayPal’s invoicing overview says business accounts can create invoices online or in the app, add a logo and business details, and send them by email, link or QR code. It also states that customers do not need a PayPal account to pay and that recurring invoices and payment reminders can be scheduled. Check PayPal’s current fee page before quoting prices, since fees are not listed in that overview.

Line Items That Prevent Questions Later

  • Name the deliverables, for example “Rebranded 40-page workbook (PDF and editable Canva link)”.
  • List the number of revision rounds included.
  • State the delivery method and format.
  • Reference your terms, including your refund policy.
  • Show sales tax separately where it applies — our overview of sales tax on digital products covers the general picture.

Processor features and fees change, so confirm the details in each provider’s help pages before you rely on them. For tax questions about your own situation, check with a qualified tax professional.
